How we collect, use, and protect information — including the trust we hold on behalf of the patients who share their stories with us.
1. Overview
MotionBio (“MotionBio,” “we,” “us”) produces patient testimonial and thought leadership films for pharmaceutical and biotechnology companies. This policy explains what information we collect through motionbio.studio and through our production work, how we use it, and the choices you have.
By using this website or participating in a MotionBio production, you agree to the practices described here.
2. Information we collect
Information you give us: name, company, email address, phone number, and any details you include when you contact us, book a call, or submit a project inquiry.
Production information: for filmed participants, this may include recorded audio and video, photographs, written consent documentation, and any health-related details a participant chooses to share on camera.
Automatically collected information: basic technical data such as browser type, device type, referring page, and pages viewed, used to keep the site secure and understand general usage.
3. Patient and participant information
Participation in a MotionBio film is always voluntary. We obtain written, informed consent before filming, and we describe how the footage may be used before a participant agrees.
Participants may review their consent scope and may withdraw consent for future use of their material by contacting us, subject to materials already distributed or published.
We handle participant material as confidential and store it on access-controlled systems. Where a client’s program is governed by HIPAA, IRB, or medical-legal-regulatory review requirements, we follow the protocols agreed with that client.
4. How we use information
We use information to respond to inquiries, schedule and conduct calls, plan and deliver productions, fulfill contracts, meet legal and regulatory obligations, and improve our services and website.
We do not sell personal information, and we do not use participant footage for purposes outside the consent that participant signed.
5. Sharing
We share information with the client commissioning a production, with crew and vendors who need it to perform their work, and with service providers such as scheduling, email, hosting, and storage platforms. These parties are permitted to use the information only to provide services to us.
We may disclose information where required by law or to protect our legal rights.
6. Scheduling and third-party tools
Our booking page uses a third-party scheduling provider. When you book a call, the information you enter is processed by that provider under its own privacy policy in addition to this one.
7. Retention and security
We retain project materials for as long as needed to deliver and support the work, meet contractual and regulatory obligations, or as otherwise agreed with the commissioning client.
We use reasonable administrative and technical safeguards to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your choices
You may request access to, correction of, or deletion of personal information we hold about you, and you may opt out of marketing emails at any time. Depending on where you live, you may have additional rights under applicable privacy law.
To make a request, email hello@motionbio.studio.
